This Privacy Policy explains how Magic Santa Calls (“we”, “us”, “our”) collects, uses, and shares information when you use our mobile application and related services (the “Service”).

2. What information we collect

2.1 Information you provide

Depending on how you use the Service, you may provide:

  • Account / parent profile information: email address (if provided), and app preferences/metadata.
  • Child profile information (child information): child first name (optional), birth year (required), optional birth month/day, language, pronouns, grade, notes, and other metadata you choose to provide.
  • Booking information: scheduled time, timezone, selected experience, delivery method, and booking “call notes” you enter for personalization.
  • Contact information for call delivery: phone number in E.164 format (and sometimes email) used to deliver the call and related communications.
  • Support requests: when you submit a support/contact form, we collect your name, email address, and message content.

2.2 Information we collect automatically

  • Booking and call status data: booking status, call timestamps, retry attempts, and related metadata.
  • Notifications data: in-app notification records and whether you’ve read them.
  • Push notification identifiers: device push tokens / OneSignal player identifiers used to deliver push notifications (if you enable them).

2.3 Call content, transcripts, and recordings (“Call Artifacts”)

Depending on the experience and provider behavior, the Service may process call audio and metadata during call delivery and may receive artifacts such as recordings, recording URLs, transcripts, and summaries. Artifacts may not be available for every call.

3. How we use information

  • Provide and operate the Service (create profiles, book and deliver calls, show history and artifacts)
  • Personalize call experiences based on details you provide
  • Send transactional communications (reminders, cancellations, receipts, refunds, support confirmations)
  • Deliver push notifications (if enabled)
  • Process purchases and prevent fraud/abuse
  • Maintain safety, reliability, and debugging

4. How we share information

We share information with service providers that help us operate the Service. This can include:

  • Supabase (database and authentication)
  • Vapi (voice/call orchestration and call event webhooks)
  • OpenAI (used for certain call-state classification/steering features)
  • Resend (email delivery)
  • OneSignal (push notification delivery)
  • Upstash / QStash / Redis (scheduling and caching)
  • Payments providers (such as Apple App Store / Google Play, Stripe, and RevenueCat infrastructure)

We may also share information if required by law, to protect rights and safety, or in connection with a business transaction. We do not sell your personal information.

5. Children’s privacy (COPPA-aligned)

Magic Santa Calls is a parent/guardian-facing Service and is not directed to children. Children should not create accounts or submit information directly through the Service.

Parents/guardians may provide limited child information (such as a child’s first name, birth year, language, and optional notes) to personalize the call experience. We use this information to provide the Service.

You can request deletion or anonymization of child information by requesting account deletion (see below) or by contacting support at support@magicsantacalls.com.

6. Data retention

We retain information for as long as needed to operate the Service, comply with legal obligations, resolve disputes, and enforce agreements.

Support requests: We retain support requests for 30 days.

Bookings/calls: We retain bookings/calls for 30 days.

Artifacts (recordings/transcripts): We retain artifacts for 30 days.

7. Account deletion

The Service supports account deletion. When you delete your account, we may remove and/or anonymize associated information, such as clearing contact information (including phone numbers), anonymizing profiles, removing push identifiers, and deleting the authentication user.

8. Your choices and rights

Depending on your location, you may have rights to access, correct, or delete personal information, or to object to certain processing. Contact us at support@magicsantacalls.com.
